When we accept work for publication we send contributors an email which acts as a contract. The content in this email is a work in progress, and always subject to change. But we won’t change any agreement that you (and we) have already agreed to. This is what the email contract looks like for Issue 9:
Hi NAME, We are happy to accept the following submitted work for Issue 9 of Exist Otherwise (publish date: January 13, 2024):
Congratulations and thanks for your contribution.
This email expresses our commitment to pay you $15 for the right to publish the work listed above, but ONLY if you reply to this message and accept this offer of publication. If we do not hear back from you, we can not guarantee that your work will be published or paid for. Payment will be sent 1-3 days after publication.
We are only able to guarantee payment through either Paypal or Venmo. If you are unable to use one of these services we cannot guarantee payment, but we will try. Please contact us to discuss.
By accepting this agreement you give us the right to publish your work on our website and in the accompanying PDF version of our journal. You agree to keep the work available on our website and in the PDF issue for 60 days after the publish date. After 60 days, you may withdraw your work at any time, for any reason from both, the website and the PDF issue. If you withdraw the work before publication, the $15 fee will not be issued, and you revoke any claim to it.
We claim the right to post a short excerpt of your written work on our social media accounts in order to promote the journal. In such usage, the excerpt will include a link to the work itself on our website. You will be credited by name. You may opt out of having your work promoted in this way. In that case, please include that information in your reply to this message.
We claim the right to post your visual artwork on our social media accounts in order to promote the journal. In such usage, the excerpt will include a link to the work itself on our website. You will be credited by name. You may opt out of having your work promoted in this way. In that case, please include that information in your reply to this message.
We claim no other rights to your work.
We will not alter your work in any way without written permission from you. However, for written work, we reserve the right to adjust all page and type elements, including margins, columns, type size, leading, letter spacing, kerning, hyphenation, and any other element, as we see fit. This is to achieve as much stylistic consistency as possible throughout each issue. For further information and details, read our Style Guide.
Special consideration may be given for any and all of the above at the request of the author.
We will provide a proof copy of your work in PDF format, as well as how it will appear on the website. The PDF and website proofs will be sent to contributors by email not less than three days before publication. Please be on the lookout for these proofs so we can make corrections or edits before publication. (We will also continue to make corrections any time after publication, as necessary.)
All first-time contributors must fill out a Contributor Information form with their personal details. Failure to do so may void this agreement.
If you have previously been published by us and/or we have your personal information on file, you are not required to submit the form again. However, the form may also be used to send us updated information.
Visual Artists must also fill out the Art Details form with the requested information about each accepted artwork.
Please respond to this email with your acceptance, and fill out the appropriate form(s), at your earliest convenience. We cannot guarantee publication or payment if the requested information is not received in a timely fashion.
Thank you for making this publication possible!
